Champions Virtual Group – CVG AI Training (“CVG,” “we,” “us” or “our”) is committed to respecting and protecting the privacy of participants who register through cvgaitraining.com.

CVG AI Training is presently offered as a free educational and social-service initiative to help people understand and use artificial intelligence.

1. Information We Collect

When you register, we may collect:

• Name
• Email address
• Mobile or WhatsApp number
• Country
• Profession or occupation, when provided
• AI-experience level
• Selected training session
• Unique Participant ID
• Referral information, when applicable

We collect only information reasonably required to register participants, communicate with them and manage the training programme.

2. Why We Collect This Information

Your information may be used to:

• Register you for the selected training session
• Identify and communicate with registered participants
• Prevent unregistered or anonymous access to private Google Meet sessions
• Send confirmation and Google Meet joining information
• Send important schedule changes and training updates
• Contact you through email or WhatsApp regarding the programme
• Maintain attendance and participation records
• Generate a Unique Participant ID
• Track referrals, certificate eligibility and programme rewards
• Improve future training programmes

We will not use your information for unrelated purposes without informing you or obtaining additional consent where required.

3. Email and WhatsApp Communication

By registering and selecting the communication-consent option, you agree to receive information directly connected with CVG AI Training through email and WhatsApp.

You may request that non-essential communications stop at any time by contacting us. Important messages regarding a session for which you are registered may still be sent when reasonably necessary.

4. How Information Is Stored and Processed

Registration information may be processed or stored using secure website-hosting, Google Workspace, Google Sheets, Google Apps Script, email and other service providers required to operate the registration and communication system.

These service providers may process information on our behalf according to their own security and privacy terms. We take reasonable steps to limit access to authorised persons and protect information against loss, misuse or unauthorised disclosure.

Internet-based storage and communication cannot be guaranteed to be completely secure. Participants should avoid submitting unnecessary or sensitive personal information.

5. Sharing of Information

We do not sell, rent or trade participant information.

Information may be shared only:

• With authorised persons assisting in the administration of CVG AI Training
• With service providers required to operate the website, registration, email, WhatsApp or data-storage systems
• When required by applicable law, regulation or lawful authority
• When reasonably necessary to protect participants, CVG or other persons from fraud, misuse or harm

6. Testimonials, Photographs and Videos

Registering for training does not automatically permit CVG to publish a participant’s name, photograph, written testimonial or video testimonial.

Written or video testimonials will be collected separately. Publication or promotional use will require the participant’s consent.

Video testimonials are optional. Participants should not submit confidential employer information, private documents or content that they are not authorised to share.

Participants may request the removal of a published testimonial, subject to reasonable processing time and any material already lawfully printed or distributed.

7. Referral Information

Participants may receive a unique referral link. CVG may record successful registrations generated through that link for certificates, rewards and programme administration.

We do not intentionally display a referrer’s personal email address or mobile number publicly. Unique Participant IDs should be used for referral tracking wherever possible.

8. Data Retention

Registration information will be retained only for as long as reasonably necessary for training administration, attendance records, certificates, referrals, legal requirements and related CVG educational activities.

Records should be periodically reviewed. Information that is no longer required will be securely deleted or anonymised where reasonably possible.

9. Your Rights and Choices

Subject to applicable law, you may request:

• Access to the personal information held about you
• Correction of inaccurate information
• Withdrawal of communication consent
• Deletion of information that is no longer required
• Clarification about how your information is being used

We may request reasonable information to verify your identity before processing such a request.

10. Participants Under 18

Participants under 18 should register only with the knowledge and consent of a parent or legal guardian. CVG may request parental or guardian confirmation where appropriate.

11. External Links

The CVG website may contain links to Google Meet, WhatsApp, YouTube or other external services. Those services operate under their own privacy policies and terms. CVG is not responsible for the privacy practices of external websites or platforms.

12. Changes to This Policy

This Privacy Policy may be updated when the training programme, website, technology, legal requirements or services change.

The latest version will be published on cvgaitraining.com, together with the updated date.
